Job Overview: Receptionist (Salary Level 4)

As a Receptionist at BOCMA, you will provide secretarial, clerical, and administrative support to ensure smooth and cost-effective operations. This role is ideal for individuals with strong communication skills, a professional demeanor, and the ability to multitask in a busy office environment.

  • Salary: R186 945 per annum (excluding benefits)

Key Responsibilities

As a Receptionist, your responsibilities will include:

  • Handling Incoming Communications: Receive and direct phone calls, emails, and fax messages to the appropriate staff members.
  • Visitor Management: Greet and direct visitors professionally, ensuring they are assisted and directed to the correct person or department.
  • Administrative Support: Provide general clerical support such as filing, document handling, and maintaining the office space.
  • Scheduling and Meetings: Assist in preparing meetings, conferences, and managing schedules for sub-committee, board, and management meetings.
  • Mail Handling: Manage incoming and outgoing mail, courier packages, and deliveries.
  • Public Enquiries: Respond to general public inquiries and assist with managing staff and visitor registers.

Requirements

To be considered for this role, you must meet the following minimum requirements:

  • Educational Qualification: Grade 12 (Matric) with at least 2 years of proven experience working in a busy office environment or switchboard management.
  • Experience: Strong background in handling administrative tasks, office management, and customer-facing roles.
  • Skills and Competencies:
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office (Word, Excel, and Outlook).
    • Knowledge of at least two official languages used in the BOCMA jurisdiction.
    • Strong problem-solving skills, decision-making ability, and organizational skills.
    • Ability to manage stress, prioritize tasks, and maintain a high level of concentration.
    • Team-oriented with good interpersonal skills.
    • Knowledge of office administration and basic office equipment management.
    • A valid driver’s license will be an advantage.
