Purpose of the Job
The Administrative Assistant will provide day-to-day administrative support to ensure smooth departmental operations.
Key Performance Areas
Compliance Administration
- Maintain updated documentation for departmental business activities.
- Ensure compliance with policies and standards.
- Adhere to internal control measures and organizational goals.
Office Coordination
- Manage correspondence, filing, and telephonic queries.
- Maintain strict confidentiality of office matters.
- Assist with follow-ups and outstanding matters.
- Ensure timely response to requests and maintain organized records.
- Oversee stationery supply and validate submitted documents for accuracy.
- Prevent duplicate entries and ensure accurate document capturing.
Meeting Support
- Arrange and confirm meetings.
- Record and distribute minutes as per governance standards.
- Maintain follow-up plans for unresolved matters.
- Manage team diaries and stakeholder appointments.
Document and Records Management
- Administer record-keeping and filing per the RAF filing plan.
- Retrieve requested information efficiently.
- Maintain confidentiality of documents and ensure secure delivery.
- Record data accurately on computer systems.
Qualifications and Experience
- Educational Requirement: Matric or Grade 12 Certificate
- Experience: Minimum of 1 year in an administrative role or similar environment
